Write a quote you can stand behind

Fill it in and print it. The fields that stop arguments — what is included, what is not, how long the price holds — are on the form rather than left to you to remember.

A quote is not a tax invoice and must never be labelled one. When the work is done, the invoice generator builds a tax invoice and checks it against all eight requirements in section 29-70.

Quote or estimate — say which

A quote is an offer at a fixed price. An estimate is your best assessment of what the job will cost, and everyone expects it to move. The label on the document matters less than what the document actually says, so the useful discipline is this: if the figure can change, write down what would change it.

Site conditions you have not seen. Materials at the price on the day. Variations the client asks for once you have started. Those three cover most of it, and a sentence naming them is worth more than any heading. Most arguments about price begin with a document that quietly committed to neither position.

The exclusions are the point

Anyone can write down a number. What makes a quote useful six weeks later is the part that says what is not in it. Rubbish removal, making good, painting afterwards, scaffolding, permits, waiting time, parking — a client who was never told these are extra will genuinely believe they were included, and they will not be being difficult.

It is also why the expiry date is on this form. A price you gave in March is not a price you owe in September, but only if the document said so.

Be unmistakable about GST

If you are registered, quote so that the GST position cannot be misread — show it as a line, or state that the total includes it. The most avoidable dispute in small business is a quote that says one number and an invoice that later says that number plus ten per cent.

If you are not registered, do not show GST and do not imply it. You must register once your GST turnover reaches $75,000 — the GST calculator covers the thresholds and the two turnover tests.

A quote is not a tax invoice

They do different jobs and only one of them is regulated. A tax invoice has eight required items under section 29-70 of the GST Act; a quote has no statutory content requirements at all. So a quote with “tax invoice” written across the top is almost certainly not a valid tax invoice, and your client cannot safely claim a GST credit on it. Send the quote to win the work and the tax invoice when it is done.

Frequently asked questions

What should an Australian quote include?
Who you are and your ABN, who it is for, the date, a description of the work priced line by line, the total, whether GST is included, and — the one most often left out — how long the price holds for. There is no legislation prescribing the contents of a quote the way section 29-70 prescribes a tax invoice, so this is about being clear and being able to prove later what you offered.
What is the difference between a quote and an estimate?
A quote is an offer at a fixed price. An estimate is your best guess at what the work will cost, and it is expected to move. The word you use matters less than what the document says, so if the figure can change, say what would change it — variations, site conditions, materials at the price on the day. If it cannot change, say that too. Most disputes over price start with a document that did not commit either way.
Is a quote legally binding?
It depends on what it says and whether it was accepted, which makes it a contract question rather than a tax one. Broadly, a quote is an offer, and an offer that is accepted can form a contract on those terms — which is exactly why an expiry date and clear inclusions matter. Whether any particular quote binds you is not something a template can answer, and it is worth advice before you rely on it for a large job.
Should a quote show GST?
Yes, and in words that commit to something. Three forms all work: "Total $5,500 including $500 GST", "Total $5,000 plus GST", or the GST itemised on its own line — pick the one your customer will find easiest to check against the invoice later. The form to avoid is "GST may apply", which sounds careful and means nothing. If you are not registered, do not write "plus GST" at all: you cannot charge it, and the phrase suggests you can.
Can I turn my quote into a tax invoice?
Keep them as two documents and link them by number. When the quote is accepted it becomes your record of what was agreed; when the work is done you issue a separate tax invoice that quotes the quote number as its reference. That way the price history is intact, and the invoice carries the eight items it needs without a heading that has been crossed out and rewritten. The invoice generator here will build the second document from the same line items.
Where does this go?
Nowhere. The quote is built in your browser, there is no account and nothing is uploaded. Printing uses your browser’s own dialog, so the PDF is made on your machine. Close the tab and it is gone, which also means you should save or print anything you want to keep.
