Construction quote template

Free in Word, Excel or PDF. A building quote needs more than a price list: where the job is, what is and is not included, how long the price holds, and how the money and the changes will be handled.

Site address, scope, line items with units, 10% GST added once on the total, and the deposit, progress payment, variation and exclusion terms. The Excel version does the sums.

Labour and materials on separate lines let the client see what they are paying for, and make a variation one changed line rather than a new quote.

The exclusions are what a quote is really for. Site access, rubbish removal, painting after, materials at the price on the day — whatever you do not want assumed.

A quote is not a tax invoice and must never be labelled one. When the work is done, the invoice generator builds a tax invoice and checks it against all eight requirements in section 29-70.

What goes on a building quote

  • who you are: your name or trading name, your ABN, and your licence number if you hold one
  • who it is for, and the site address — the job is somewhere, and the quote should say where
  • the scope in plain words: what will be done, and roughly when
  • the line items, with quantities and units, priced before GST
  • the GST, and the total including it
  • the date the price is valid until
  • the deposit and any progress payments, and when each falls due
  • how variations will be priced, and what the price does not include

No GST or tax law prescribes what a quote says, so none of that is a legal checklist; it is what lets a client say yes to a fixed set of work. A quote is also not a tax invoice — the quote template page covers that, and the difference between a quote and an estimate.

Residential work has its own rules

For building work on a home, each state’s home building laws set rules for the contract that follows a quote, including deposits and cooling-off. They differ from state to state and this page does not cover them — check your state’s building regulator before the client signs.

GST on a building quote

Building work by a business registered for GST is ordinarily a taxable supply, so the template prices each line before GST and adds 10% once on the subtotal — the same once-on-the-total rounding a tax invoice uses. Showing both totals saves the client working back from one. If you are not registered, and not required to be, delete the GST line: such a business has no GST to charge, and once the job is done and billed, a business client will need a tax invoice from a registered builder to claim the GST back.

Frequently asked questions

How long should a construction quote stay valid?
Long enough for the client to decide, short enough that timber and steel prices cannot move far under you. Whatever period you pick, write the date it ends rather than "30 days" — a period counted from a day the client cannot see on the page is an argument waiting to happen. The template has a "valid until" box for exactly that.
Should labour and materials be separate lines?
Usually, yes. Separate lines let the client see what they are paying for, and they make a variation easy to price: when the client swaps a material, you change one line instead of re-quoting the job. The unit column takes hours, square metres, linear metres or items, whichever the trade counts in.
How do I deal with changes once the job has started?
Say how in the quote, before anyone needs it. A line under Variations — a rate for extra hours, a margin on extra materials, or that every change is priced in writing before it is done — turns a dispute into arithmetic. Then price each change on the same basis when it comes.

The GST rate and the rounding are from the GST Act, sections 9-70 and 9-90, in C2026C00081 (Compilation No. 96); nothing else on this page is a legal requirement. The methodology page explains how this site verifies figures.
